Application documents with Chat GPT

Application Documents with Chat GPT: Creating the perfect CV can be challenging, especially when we want it to stand out among numerous applications. Fortunately, thanks to advanced technology like Chat GPT, we can significantly streamline this process.

Below, I will present how to use Chat GPT to build and customize application documents:

• Master CV,

• CV tailored to a specific job offer,

• Cover letter,

• Cover email,

• Thank you letter.

A Master CV is a CV sent to recruitment agencies, contacts in your network, or directly to companies. It is our main CV, which we can send wherever we do not have a job description. However, we should remember that our CV will likely end up in various company/organization databases. To ensure it can be found in the future, it should be ATS-friendly (more information here: https://zarzadzaniekariera.pl/en/ats-friendly-cv)

What prompts can we use to make our Master CV searchable in databases? A prompt is a command or query given to an artificial intelligence system to obtain a response from it.

Chat GPT can help optimize keywords: First, it is worth defining them.

[Prompt – keyword definition]:

Prompt: Analyze at least 100 current job offers for the position [enter job title] in {enter country] from various job portals. Identify common requirements, responsibilities, and keywords that appear most frequently. Focus on aspects such as:

  1. Required qualifications and experience.
  2. Key duties and tasks.
  3. Essential technical and soft skills.
  4. Preferred education.
  5. Certifications and training that are often required or preferred.

Present the analysis results as a list of the most frequently mentioned requirements and keywords that can be used to optimize a CV.

After defining the keywords, it is worth updating your CV accordingly.

You can use a prompt like this:

Prompt: Analyze the following keywords and my CV. Then suggest changes to my CV to make it better aligned with these keywords.

Keywords: [keywords]

CV: [Your CV]

Please suggest which sections of the CV should be modified, what information to add or change to better meet the expectations of an employer looking for candidates with the following keywords.

One of the important sections in a Master CV is the professional summary. Chat GPT can help us craft it.

Here is a helpful prompt:

Prompt: Write a professional summary for my CV highlighting my [X years] of experience in [industry/field] and key achievements in [specific roles or projects].

It is also important to emphasize your achievements in each role over the past 10 years of work experience in your CV.

Here is a helpful prompt:

Prompt: Generate 3-5 bullet points for each role I have held, focusing on measurable achievements and specific projects, especially in [key skill/area].

  • CV tailored to the job description
  1. is crucial to always tailor your CV to the job description if you have it. A tailored CV increases the chances of getting an interview (various sources indicate that personalizing your CV can increase employment chances by up to 63%).

This can be done using Chat GPT. You can write the following prompt: Prompt: I have a job description for the position I am applying for. I would like you to analyze it and create a table listing the following aspects: hard skills, soft skills, and responsibilities.

Here is the job description: [insert full job description here]

With this information, it is worth enhancing your CV – of course, if you have such experience/skills. It is worth applying when we meet about 80% of the requirements.

You can also ask Chat GPT for guidance using the following prompt: Prompt: I have a job description for the position I am applying for, and my current CV. I would like you to create a new CV based on this information that meets the expectations of this position.

Here is the job description: [insert full job description here]

And here is my current CV: [insert your current CV here]

  • Cover letter

Cover letters are increasingly less required, but a well-written one can be an additional element that sets your application apart. Cover letters are written only if we know the position and the organization we are applying to, as the letter should present our motivation for taking up the position in the given company. With the job description, we can use Chat GPT to help us prepare the cover letter.

You can use the following prompt:

Prompt: I would like to write a cover letter for the position [job title] at [company name].

Here is the job description: [insert job description here] And this is my CV: [insert your CV here]

Please help me write a cover letter that highlights my experience, skills, and fit for this position.

After receiving the first version of the letter, you can further refine it to align it as closely as possible with the potential employer's expectations using the following prompts:

[Checking compliance with job requirements]

Prompt: Prepare this cover letter to be focused on meeting all the requirements outlined in the job description. I would like the cover letter to particularly emphasize my experience in:

  1. [First required skill or experience]
  2. [Second required skill or experience]
  3. [Third required skill or experience]

[Personalization]

Prompt: I would like this cover letter to be personalized and highlight why I want to work at this particular company. Please help me write a cover letter that addresses the following points:

  1. Why I am interested in working at this company (e.g., mission, values, company projects).
  2. How my skills and experience meet the job requirements.
  3. My achievements and specific examples that show I am a good fit for this role.

[Specific examples]

Prompt: I would like this cover letter to include the following specific examples from my experience:

  1. [Description of a specific achievement or project relevant to the position]
  2. [Description of another significant achievement or project]
  3. [Description of a third relevant achievement or project] I would like these examples to be related to the job requirements and demonstrate my skills in practice.

Finally, it is worth doing a language review again

Prompt: I would like you to help me improve the language and style of my cover letter for the position [job title] at [company name].

Here is the job description: [insert job description here]

And this is my first version of the cover letter: [insert the first version of the cover letter here]

Please help me with the language review, considering:

  1. Correction of spelling and grammatical errors.
  2. Ensuring that the letter is written in professional language.
  3. Checking that the tone of the letter is appropriate for a formal cover letter.
  4. Suggesting better wording where needed to make the letter clearer and more persuasive.

  • Cover email is a short email that you send along with your CV when applying for a specific position, or if you send your CV to someone in your network or to a headhunter. Below are example prompts.

AI technology like ChatGPT is undoubtedly a powerful tool for supporting the creation of application documents. It can help in writing, editing, and formulating content, saving time and making the application process easier. However, it is worth remembering that these tools are not without flaws. ChatGPT, like other AI systems, sometimes generates responses that are not accurate – this phenomenon is known as hallucinations. Therefore, when using such technology, it is always worth double-checking the information received and, in case of doubt, consulting a professional. It is also essential to use your own judgment and critically approach the generated content.
